At the Journal of Biological and Medical Innovations (JBMI), we understand that there may be valid reasons for authors to withdraw their manuscript during the submission, peer review, or publication process. This Withdrawal Policy outlines the conditions and procedures for withdrawing a manuscript from consideration.

1. Withdrawal Before Peer Review:

  • Conditions for Withdrawal: Authors may withdraw their manuscript at any time before the peer review process begins. If a manuscript is withdrawn prior to being sent for peer review, no further action will be taken, and the manuscript will be removed from the submission system.

  • Procedure: To withdraw a manuscript, authors must submit a formal written request to the editorial office. The request should include the manuscript ID, title, and the reason for withdrawal. Once the withdrawal request is confirmed, the manuscript will be officially removed from the system, and the author will receive a confirmation of the withdrawal.

2. Withdrawal During Peer Review:

  • Conditions for Withdrawal: Authors may request to withdraw their manuscript after the peer review process has started, but the request will be considered based on the current status of the manuscript. If the manuscript is under review, authors must notify the editorial office as soon as possible. Once reviewers have been assigned and the review process has begun, withdrawing a manuscript may cause delays in the editorial process.

  • Procedure: Authors must submit a formal withdrawal request, including the manuscript ID, title, and an explanation for the withdrawal. If the withdrawal is approved, the manuscript will be removed from the review process, and any feedback already provided by reviewers will be discarded. The author will receive a confirmation that the manuscript has been withdrawn.

3. Withdrawal After Acceptance but Before Publication:

  • Conditions for Withdrawal: After a manuscript is accepted for publication, authors can request to withdraw the manuscript, but only under exceptional circumstances. This request will be considered carefully, as significant editorial resources may have already been invested in preparing the manuscript for publication.

  • Procedure: Authors wishing to withdraw an accepted manuscript must submit a written request to the editorial office as soon as possible, explaining the reasons for the withdrawal. The editorial team will review the request, and if it is approved, the manuscript will be marked as "withdrawn" in the journal’s records.

  • Withdrawal Fee: In cases where a manuscript is withdrawn after acceptance, the author may be required to pay a processing fee to cover administrative and editorial costs that have already been incurred.

4. Withdrawal After Publication:

  • Conditions for Withdrawal: Once an article has been published (either online or in print), it cannot be withdrawn. However, if serious ethical issues or errors are identified post-publication, the article may be retracted. Retraction is typically initiated in cases of plagiarism, data falsification, ethical violations, or other misconduct.

  • Procedure for Retraction: If an article is to be retracted, the editorial office will issue a formal retraction notice. The article will remain accessible in the journal’s archives, but it will be clearly marked as retracted. The reason for retraction will be provided in the retraction notice.

5. Ethical Considerations for Withdrawal:

  • Respect for the Review Process: Authors are encouraged to consider the time and effort invested by reviewers, editors, and other journal staff before deciding to withdraw a manuscript. Withdrawal requests should be made in good faith and with careful consideration of the impact on the journal’s operations.

  • Impact on Future Submissions: Authors who withdraw manuscripts without valid reasons or who repeatedly request to withdraw submissions may face restrictions on future submissions to JBMI. The editorial team may review such cases on an individual basis to determine appropriate action.

6. Communication and Timeliness:

  • Prompt Notification: Authors are encouraged to notify the editorial office of their intent to withdraw a manuscript as soon as possible. Delayed notification may impact the peer review process, and in some cases, authors may be asked to explain any delays.

  • Decision Timeline: The editorial team will make every effort to process withdrawal requests promptly. However, the timeline for approval or processing may vary depending on the stage of the manuscript (submission, review, or acceptance).

7. Acknowledgement of Withdrawal:

Once a manuscript is officially withdrawn, the author will receive an acknowledgment email confirming the withdrawal. This acknowledgment will include information on whether any fees are applicable and the status of the manuscript in the journal’s system.
